๐Ÿ–จ๏ธ Troubleshooting Common Printer Issues

Printer problems are one of the most common IT issues in any office. Before submitting a ticket, try these troubleshooting steps โ€” many printer issues can be resolved in just a few minutes.


My Printer Wonโ€™t Print

Step 1: Check the Basics

  • Is the printer powered on and showing a ready/green status light?
  • Is there paper in the tray? Is the paper tray fully seated?
  • Are there any error lights or messages on the printerโ€™s display panel?
  • Is the printer connected to the network (check for a network/Wi-Fi icon on the display)?

Step 2: Verify the Correct Printer is Selected

  • When you print, make sure youโ€™re sending the job to the correct printer โ€” not โ€œMicrosoft Print to PDFโ€ or another device.
  • In your application, go to File โ†’ Print and check the printer name in the dropdown.

Step 3: Restart the Print Spooler

If your computer shows the print job as sent but nothing happens:

  1. Press Windows Key + R, type services.msc, and press Enter.
  2. Scroll down to Print Spooler.
  3. Right-click it and select Restart.
  4. Try printing again.

Quick Alternative: Restart your computer โ€” this also restarts the Print Spooler.


I Have Stuck or Failed Print Jobs in the Queue

  1. Click the printer icon in your system tray (bottom-right of your screen near the clock).
  2. If you see pending print jobs, select them all (Ctrl + A) and press Delete.
  3. Try printing a fresh test page.

If jobs keep getting stuck after clearing the queue, restart your computer and try again.


Setting a Default Printer

Tired of selecting the right printer every time?

  1. Open Settings โ†’ Bluetooth & devices โ†’ Printers & scanners.
  2. Turn off โ€œLet Windows manage my default printerโ€ at the bottom of the page.
  3. Click on the printer you want as your default.
  4. Click โ€œSet as defaultโ€.

Printing Double-Sided (Duplex)

  1. Open your document and go to File โ†’ Print.
  2. Look for a setting called โ€œPrint on Both Sidesโ€, โ€œDuplex Printingโ€, or โ€œTwo-Sidedโ€.
  3. Choose either:
    • Flip on Long Edge โ€” for standard documents (like a book).
    • Flip on Short Edge โ€” for landscape or top-bound documents.
  4. Click Print.

Note: Not all printers support automatic duplex printing. If the option doesnโ€™t appear, your printer may require manual flipping.


Printing from a Mobile Device

iPhone / iPad (AirPrint)

  • Make sure your phone and printer are on the same Wi-Fi network.
  • Open the document or photo, tap the Share icon, and select Print.
  • Choose your printer from the list.

Android

  • Open the document, tap the three-dot menu โ†’ Print.
  • Select your printer. If it doesnโ€™t appear, you may need to install the printer manufacturerโ€™s app from the Play Store.

Note: Not all office printers support mobile printing. If youโ€™re having trouble, try emailing the document to yourself and printing from your computer.


Printer Not Showing Up at All

If your printer doesnโ€™t appear in the printer list:

  1. Make sure the printer is powered on and connected to the network.
  2. Restart your computer.
  3. Go to Settings โ†’ Bluetooth & devices โ†’ Printers & scanners โ†’ Add device and see if it appears.
  4. If it still doesnโ€™t show up, the printer may need its driver reinstalled โ€” contact eTop for help.
