๐ŸŒ Outlook Running Slow or Search Not Working

If Outlook is taking forever to open, emails are slow to load, or search isnโ€™t returning results, these steps will help you get things running smoothly again.


Outlook Is Slow to Open or Respond

Step 1: Restart Outlook (and Your Computer)

It sounds simple, but fully closing and reopening Outlook resolves most temporary slowness:

  1. Close Outlook completely (donโ€™t just minimize it).
  2. If Outlook is frozen, press Ctrl + Alt + Delete โ†’ Task Manager โ†’ find Microsoft Outlook โ†’ click End task.
  3. Reopen Outlook.
  4. If itโ€™s still slow, restart your computer โ€” this clears cached processes.

Step 2: Disable Unnecessary Add-ins

Add-ins can significantly slow down Outlook:

  1. In Outlook, go to File โ†’ Options โ†’ Add-ins.
  2. At the bottom, set the dropdown to โ€œCOM Add-insโ€ and click Go.
  3. Uncheck any add-ins you donโ€™t recognize or donโ€™t need.
  4. Click OK and restart Outlook.

Tip: If youโ€™re not sure what an add-in does, uncheck it. If something stops working, you can re-enable it later.

Step 3: Repair Your Outlook Profile

A corrupted profile is a common cause of persistent slowness:

  1. Close Outlook.
  2. Go to Control Panel โ†’ Mail โ†’ Show Profiles.
  3. Select your profile and click Properties โ†’ Email Accounts โ†’ Repair.
  4. Follow the prompts and restart Outlook.

Search Is Not Returning Results

Step 1: Rebuild the Search Index

  1. In Outlook, go to File โ†’ Options โ†’ Search โ†’ Indexing Options.
  2. Click Advanced โ†’ Rebuild.
  3. Click OK and wait โ€” rebuilding can take 15-30 minutes depending on your mailbox size.
  4. Try searching again after the rebuild completes.

Step 2: Check Search Scope

Make sure youโ€™re searching in the right place:

  • Current Folder vs All Mailboxes โ€” Click the search bar and check the scope dropdown. If youโ€™re only searching โ€œCurrent Folder,โ€ you may be missing results.
  • Try typing your search and then clicking โ€œAll Outlook Itemsโ€ to expand the scope.

If youโ€™re using the New Outlook (the toggle at the top-right), search works differently:

  • The search bar is at the top of the window.
  • Results include emails, contacts, files, and calendar events.
  • Use filters (From, Has Attachment, Date) to narrow results.

Emails Are Not Arriving or Notifications Are Delayed

  1. Check your internet connection โ€” open a browser and make sure you can reach websites.
  2. Click Send/Receive โ†’ Send/Receive All Folders (or press F9).
  3. Check your Focused Inbox โ€” emails may be landing in the โ€œOtherโ€ tab instead of โ€œFocusedโ€.
  4. Check your Junk/Spam folder โ€” legitimate emails sometimes get filtered.

Outlook Uses Too Much Memory

If Outlook is using a lot of RAM and slowing down your computer:

  • Reduce your mailbox size: Archive old emails or delete items you no longer need. See our guide on Online Archiving.
  • Close extra Outlook windows: Each open calendar, contact, or email window uses additional memory.
  • Disable the Reading Pane temporarily: View โ†’ Reading Pane โ†’ Off.
